Best software for cake businesses and home bakers (2026)
By Olusegun Osunrinde, Founder, Sentralbee · 4 October 2026
For cake businesses in 2026, Sentralbee suits Nigerian cake studios that take custom orders and need the true cost of each cake. Stocksmith suits bakeries selling repeat products online in North America. Bumpa suits selling ready-made treats online in Nigeria. A spreadsheet or notebook still works for a home baker with few orders.
The short version
The right app depends on how you sell. Custom celebration cakes, repeat products online, and ready-made treats from a shop each need something different. Here is the honest shortlist, as of October 2026.
| Option | Best for | Price (as of October 2026) |
|---|---|---|
| Sentralbee | Cake studios taking custom orders who need true cost per cake, ingredient stock and a production board | Nigeria: free for 20 orders a month, Pro ₦7,500 a month. US/Canada: from $45 a month |
| Stocksmith (formerly Craftybase) | Bakeries selling repeat products through Shopify, Etsy or Amazon, mainly in North America | From $20 a month, 14-day trial, no free plan |
| Bumpa | Nigerian bakers selling ready-made treats online with Paystack checkout | Free plan with limits, paid from ₦55,000 a year |
| Zoho Inventory | Businesses already on Zoho that need a free general stock tool | Free plan, paid from $29 a month billed yearly |
| Spreadsheets or a notebook | Home bakers with a few orders a month | Free |
We make Sentralbee, so read our part with that in mind. Competitor facts come from their public pages, checked in October 2026.
What should a cake business look for in software?
Look for help with the money first. Most bakers can bake. What hurts is pricing that forgets the gas, and balances that never get paid.
A good app for a cake business should help with:
- Ingredient costs that update when butter, sugar or flour prices change
- Cost per cake that includes boards, boxes, gas and your hours
- Orders with dates so no wedding or birthday is missed
- Deposits and balances so the date is locked and the money comes in
- Stock so you don't run out of fondant on a Friday night
Is Sentralbee good for cake businesses?
Yes, if you take custom orders and want to know your real margin on each cake. Sentralbee is one app for businesses that make what they sell.
What it does for a cake studio today:
- Ingredients as materials, each with cost, supplier and a low-stock level
- Cake costing from a recipe of ingredients plus labour and extra cost lines, such as gas or delivery. Recipe cost is the quantities times the average price you paid.
- Below-cost alerts, and the Bee, our built-in AI partner, suggests a price from your margin rule
- The Bee can draft a cake's ingredients from a description, for you to check and adjust
- Stock counts and a waste log for spoiled batches and mistakes
- A production board with your own stages, such as baking, decorating and ready
- Made-to-order lines with an agreed price per line and a promised date per order
- One inbox for WhatsApp, Instagram, Messenger and Gmail, with the order created from the chat in a few taps
- Invoices, payment links and a delivered-but-unpaid list
Pricing in Nigeria: Free for up to 20 orders a month. Costing starts on Pro at ₦7,500 a month. Deposit and balance billing is on Enterprise plans. In the US and Canada: Starter $45, Growth $90 (costing is on Growth and Scale), with a 14-day free trial. See pricing and Sentralbee for cake studios.
Best for: custom cake studios that want true cost, ingredient stock and a clear view of every order in one place.
Is Stocksmith good for bakeries?
Yes, for the right bakery. Stocksmith, which was called Craftybase until mid-2026, is strong at recipe costing and has been at it for years.
As of October 2026, Stocksmith offers:
- Multi-level recipes, with cost per unit from materials, labour and overhead
- Automatic cost updates when material prices change
- Low-stock alerts, and stock taken off when a batch is made
- Lot tracking and traceability, which matter for food compliance
- Sales channels such as Shopify, Etsy, Faire and Amazon
- Plans from $20 to $349 a month, with a 14-day trial and no free plan
It is web-only, with no native app. In our research we did not find Paystack, naira pricing or a chat inbox.
Best for: a North American bakery selling repeat products online that needs traceability and cost of goods ready for tax time. For that, Stocksmith is likely the better fit. See Sentralbee vs Stocksmith.
Is Bumpa good for bakers?
Bumpa suits bakers who sell ready-made treats, like cupcakes or small chops, through an online store. It is a Nigerian app with a website, Paystack checkout, point of sale and invoices.
In our October 2026 research we did not find ingredient stock, recipe costing or production stages. It tracks finished products. It does bring Instagram and Facebook DMs into the app as a paid feature.
Best for: a Nigerian bakery that sells set items online and wants storefront and marketing tools. Bumpa does more on the storefront and marketing side than Sentralbee. See Sentralbee vs Bumpa.
Is Zoho Inventory good for a cake business?
It can be, if you already use other Zoho tools. Zoho Inventory is a mature, general stock and order app with a free plan and good mobile apps.
For cakes, its recipe support is basic. It uses "composite items" to combine parts into one item, and we did not find production stages or per-order notes like flavour and design in our research. Paystack built a free extension so customers can pay Zoho invoices.
Best for: a business already on Zoho Books or Zoho CRM that wants a free general tool. See Sentralbee vs Zoho Inventory.
Is a spreadsheet good enough for a home baker?
For a few orders a month, often yes. A spreadsheet or notebook costs nothing and you already know how to use it. You can list ingredient prices and work out the cost of each size once.
The problems grow with you. Prices change and the sheet goes stale. Formulas break. Panko's review of spreadsheet audits found errors in at least 86% of the spreadsheets checked with careful methods. And orders still sit in WhatsApp chats, away from your costs.
Best for: a home baker with a small menu who re-checks prices on every shopping trip. See Sentralbee vs spreadsheets.
How do I choose?
Ask yourself one question: what do I sell most?
- Custom cakes for events, with deposits and dates: try Sentralbee.
- The same products, online, in North America: try Stocksmith.
- Ready-made treats from an online shop in Nigeria: try Bumpa.
- Already on Zoho: try Zoho Inventory.
- Just starting out: a notebook is fine. Cost your cakes properly anyway.
Whatever you choose, know your true cost first. Read how to price a wedding cake, try the free true cost calculator, or book a free Clarity Review and we'll cost one cake with you in 30 minutes.
Questions
What is the best app for pricing cakes?
Pick one that costs each cake from its ingredients and updates when prices change. Sentralbee and Stocksmith both do recipe costing. Sentralbee also warns you when a cake sells below cost and suggests a price from your margin rule.
Is there free software for home bakers?
Yes. Sentralbee has a free plan for up to 20 orders a month in Nigeria, though costing starts on Pro at ₦7,500 a month. Bumpa and Zoho Inventory have free plans with limits. A spreadsheet is free too.
Should I include gas and decorating time in my cake price?
Yes. Gas, power, boards, boxes and your decorating hours are real costs. Leaving them out is one of the most common reasons bakers undercharge.
Can cake software take orders from WhatsApp and Instagram?
Sentralbee has one inbox for WhatsApp, Instagram, Messenger and Gmail, and you create the order from the chat in a few taps. It does not create orders automatically. Bumpa brings Instagram and Facebook DMs into its app as a paid feature.
Does Sentralbee work for cake businesses in the US and Canada?
Yes. The US and Canada edition prices in dollars and takes payments through Stripe. Costing is on the Growth plan ($90 a month) and Scale. There is a 14-day free trial and no free plan.
